Weather

In Nagoya,  September is still  a summer month with temperatures typically around 30°C.  It can also be slightly humid in the afternoon, so wear clothes that breathe well, and don’t be shy to carry a small towel. The good news is that by evening, the temperatures drop to around 21°C. Light to moderate rain is a possibility, so it is best to bring a travel umbrella — just in case.

Attire

During the event sessions, the expected dress code is business casual.

Meals

To reduce waste, all registered participants will receive a single Quo prepaid gift card, which can be used in the WINC Cafe, convenience store and restaurants around the area. The prepaid card will be given to you when you first check-in for the event. Please note that lost or misplaced Quo cards will not be replaced nor can the Quo card be sold or refunded.

You are welcome to bring in something to eat or drinks from outside. We kindly ask that trash be disposed in the proper bins. Also, for those in need of a quick bite or drink, please check out WINC Cafe on the 1F. The cafe accepts Quo Cards and offers a great selection of low-cost coffee and snacks for early arrivals and those looking to just to relax.

Welcome Reception

Located in the heartland of Japan, Nagoya offers a distinctive local cuisine known as Nagoya-meshi. The area is famous for its miso, which locals have used to create innovative tasting vegetable, fish and meat dishes. The welcome dinner will be a great opportunity to relax, eat and meet new people.

ICERE 2024 is a small, special event. Free invitations to the Welcome Dinner will be given to the first 20 confirmed registrants; thereafter, a limited number Welcome Dinner tickets can be purchased at the registration table.  Please understand that the capacity of the restaurant is limited. Priority will be given to confirmed registrants only.

WINC Aichi Location

Located in Nagoya City, this exhibition and convention center is the premier location for events in the central region of Japan. Situated at the center of the city, within close proximity to train and bus stations, the Winc Aichi is within easy walking distance of many hotels, all night convenience stores and a wide range of hotel accommodation suitable to anyone’s budget.

WINC Aichi Restaurants
There are multiple restaurants serving Japanese, Western, Vegetarian and Halal cuisine inside Winc Aichi or in the underground shopping arcade nearby. For details, visit the Winc Aichi reception counter for a free map and customer service in English and other languages.

Transportation

From Nagoya Station (JR, subway, Meitetsu, Kintetsu)

  • From the Sakuradori Exit of JR Nagoya Station: a five minute walk in the direction of Midland Square
  • From Unimall underground mall Exit 5: a two minute walk
  • From Meieki underground mall Sun Road: An eight-minute walk via Midland Square, Marukei Kanko Building and Nagoya Crosscourt Tower
  • From JR Shinkansen exit: A nine-minute walk

From JR (Tokaido Shinkansen)

  • From Tokyo Station: About 97 minutes
  • From Shin-Osaka Station: About 51 minute

From Chubu Centrair International Airport

Chubu Centrair International Airport is located on an artificial island in Ise Bay. When arriving at the airport the first place you need to go is the Access Plaza information facility which has information about all the available transportation services. There are a number of ways to travel between Chubu Airport and Nagoya, but probably the easiest way is by train.

By Train from the Airport

The quickest, easiest, and most comfortable way to travel between Chubu Airport and Nagoya is by train. The Meitetsu Railway company operates a variety of direct services between Chubu Airport and Meitetsu Nagoya Station.

The fastest service is the μ Sky Limited Express which takes just 28 minutes to travel between the airport and Meitetsu Nagoya Station for a fare of 1,230 yen. All seats on the μ Sky Limited Express are first class, so this fare includes the first class reserved seating fee of 360 yen.

Other Limited Express trains take 35 minutes and have a choice between first class and ordinary seating. If you choose ordinary seating you will only have to pay the basic fare of 870 yen.

By Bus from the Airport

Meitetsu Bus company run the hourly Centrair Limousine Bus service between Chubu Airport and the Meitetsu Bus Center which is right beside Nagoya Station. It takes 88 minutes and costs 1,200 yen for adults and 600 yen for children.

There are 14 round-trips every day, and no reservations are necessary. This bus also stops at major hotels on the way. Please download a PDF of the timetables and other details from the Meitetsu website.

By Taxi from the Airport

The airport taxi stand is by Access Plaza. The fare for a medium sized taxi between the airport and Nagoya Station is approximately 14,500 yen. On top of that you will need to pay the expressway toll fee. There is also a late night 20% surcharge between 22.00 and 5.00. For information about local taxi services see our article Taxis in Nagoya. If you are traveling in a group, you can hire a private shuttle service by the Tsubame Taxi company. The fares for the private shuttle are quite reasonable if you split the cost between the members of your group and you can take it directly to or from your hotel. However, you do need to book this service at least one day in advance.

What if I arrive late at night and airport transportation is not available?

If your plane arrives late at Chubu Airport you may need to stay overnight. There are two hotels directly connected to the airport terminal building: Centrair Hotel and Comfort Hotel. Check the Chubu Centrair Airport Hotel website for availability of rooms. There are also several other hotel in the vicinity of the airport.

Visa

According to the Japan Ministry of Foreign Affairs, as of 2024, passport holders from (67) countries have visa exemptions for entering Japan, and do not need to apply for a visa with an invitation letter.

Invitation Letters

If you are from a country without a visa exemption, then you will need an invitation letter when applying for visa permission to travel to Japan, which can be prepared for registered presenters and audience on a case-by-case basis by the event organizer. Participants requesting to register onsite are not eligible for invitation letters. If you are unsure, please contact the Embassy or Consulate of Japan nearest you for travel requirements.

Scholarships, Funding & Waivers

  1. Does INTESDA offer scholarships for domestic and international students?
    Yes. A limited number of scholarships will be awarded to domestic and international graduate students who will participate as presenters or as audience.
  2. What are the eligibility requirements to receive a student scholarship?
    Students in a masters or doctoral program in Japan or overseas should apply. Awards are based on merit and financial need. Only students with accepted submissions or applications are eligible.
  3. Does INTESDA provide grants or funding to participants from low-income countries?
    This is a hybrid event. Participants unable to travel should apply for virtual presentation or as virtual audience. Funding for transportation and accommodation is not available.
  4. Does INTESDA offer waivers for participants from low-income countries?
    Participants unable to manage the onsite fee, should consider attending as a virtual presenters or audience. The fee for virtual participation is a reduced rate.
  5. Does INTESDA provide visa assistance to scholarship or grant recipients?
    No. Please refer to the section on “Visa and Invitation Letters” for details.
