Detailed visa policies and other information can also be found on the Japan Ministry of Foreign Affairs website. As of April 1, 2023, passport holders from (69) countries have visa exemptions for entering Japan, and do not need to apply for a visa with an invitation letter.

Frequently Asked Questions regarding Invitation Letters and Visa Support:

  1. How can I know if I need a visa for travel?
    Contact the nearest Embassy or Consulate of Japan for details.
  2. What visa support is provided by the organizers?
    Participants in need of visa support, must pay the registration fee in advance via international bank transfer. Additional fees will apply for invitation letter seekers.
  3. Is visa support covered by scholarships or payable onsite? No. Participants intending to pay the registration fee onsite or those receiving scholarships are ineligible. This policy is firm and inflexible.
  4. What if my visa application is rejected?
    All decisions by the Ministry of Foreign Affairs are final. We cannot and will not assist you if your travel application is rejected.
  5. What if I cannot attend due to visa difficulty? We offer a virtual presentation mode for participants unable to attend due to visa difficulty, lack of funding or schedule conflicts.

Information Regarding Guarantee Letters

Contact the Embassy or Consulate of Japan nearest you for travel requirements. Please note that registering for the event does not oblige the organizers to provide visa support. The organizers cannot and will not provide guarantee letters to anyone. If you need a guarantee letter to support your travel documents, we suggest that you ask your university or government for support.

Requests for Funding

  1. Is funding available for local travel? Yes. A limited number of day passes for local transportation in the event city will be available. Awards are decided by the organizers.
  2. Is a discount registration rate available for students? Yes. Through a generous grant, the registration fees for students reflect a 50 percent discount off of the standard fee rate.
  3. Is travel funding provided to participants from low-income countries? No. Participants lacking the financial means to attend or lacking university support should apply for virtual participation.
